What is Google Data Studio?

While there are many tools on the market to create beautiful reports, none compare to Google Data Studio as of 2022. The bonus? This software is completely free and user-friendly for anyone to access.

While Google Data Studio does take some work on the front end to learn how to use – it’s worth it to produce informative and stunning reports for you or your clients.

This is ultimate step-by-step guide to using Google Data Studio for the first time. Note that there are many nuances and more complex techniques that you can employ over time. But this guide is the best place to start on your Google Data Studio journey!

The Ultimate Step-by-Step Guide to using Google Data Studio

1. Log in Using a Google Account

This is the most straightforward step of the guide – simply log in using your Google account. It is highly recommended that you use the Google account that also manages your Google Analytics, Google Ads, or Search Console (making it easier to plug your data in later).

Once you’ve made it to the Data Studio overview page, navigate to the “Recent” tab to take a look at your dashboard. All of the magic takes place here!

2. Get Comfortable with the Data Studio Dashboard

As stated above, the dashboard is where the magic happens with your data sets in Google Data Studio. Get a feel for the way it’s set up, check out some of the preset templates, and try creating a blank report.

Click around, explore, and take the time to see what’s available for you and your data. Once you have an idea of which metrics are going to be important for your dashboard, it’s time to connect your first data source.

3. Create and Connect a Data Source

If you don’t have a dataset or aren’t sure what’s going to be relevant for your report, use a sample dataset exported from Google Analytics to get started. This is the data that you’re going to be experimenting with now in the hopes it will provide insight for future reporting.

Google Studio currently supports about 500 data sources including Google Analytics, Google Ads, BigQuery, YouTube Analytics, Search Ads 360, PostgreSQL, and more. If you’re using multiple sources for data you’ll have to connect each individually to be able to import each dataset. To get started or connect your data source click “Create” -> “Data Source” and walk through the steps depending on the platform you’re using.

4. It’s Time to Develop your First Report

Navigate to your homepage and click “Create” -> “Report”. It will create a blank template report. If you’d like to work from a preset template, navigate to your homepage and expand the “Template” button to view the current options.

Data Studio will confirm which data you would like to add to your report. Select the relevant data and click “Add to Report”.

5. Start with a Chart

Navigate between your Theme and Layout tabs to begin creating elements that will visualize your data. Try adding a simple chart to get a feel for how the visual elements work in your report. Input a dataset sample. Try adding another metric into the chart using the pane on the right hand side.

6. Play with the Formatting

Play around with the colours and design of the report. Here’s when your creativity comes into play. To really create a stellar report – use the colors of your company or logo to bring an air of branded professionalism. Data analytics is such an in-demand function at companies that if you’re able to master this (and make it easily accessible for the average person) then you’re ahead of the curve!

7. Share the Report

You can share your report in a number of different ways. If you have coworkers that you’d like to proofread the report then invite people to view or edit it. You can also export the report as a PDF or embed the report directly into a website by using a link.

8. Sharpen your Skills

Practice makes perfect when it comes to Google Data Studio. Don’t be afraid to get in there and experiment. Do your research and watch some videos or tutorials about more advanced data layouts, capabilities, and designs.
